Job Title: Sales and Administration Coordinator Location: Toronto Schedule: Full Time in Office - Monday to Friday, 9:00 AM – 5:00 PM Annual Salary: $50,000 CAD to $60,000 CAD

The company designs, installs, and manages centralized point-of-entry (POE) purification systems at the building level, complemented by in-unit point-of-use (POU) solutions where required. This integrated architecture upgrades water quality across the entire property improving drinking and bathing water while protecting plumbing systems and lowering long term operating costs.

Clear positions water as strategic infrastructure that enhances asset performance. By embedding purification directly into core building systems and eliminating reliance on single use plastic, Clear strengthens lease up velocity, resident retention, ESG alignment, and brand differentiation. The model generates recurring service revenue through long term management and filter programs creating predictable cash flow while delivering measurable wellness and operational value at scale.

Position Overview We are looking for a proactive and detail-oriented Sales and Admin Coordinator to play a central role in driving Clear's B2B sales success. You will be the backbone of our organization by keeping our CRM accurate, providing administrative and office support, and ensuring our team operates at peak efficiency.

The ideal candidate is a key partner to our team; constantly identifying ways to improve our processes and eager to provide support. We are looking for a highly organized, process-driven candidate with a supportive personality.

Position Responsibilities: Serve as the primary administrative and operational support for the Sales Team. Maintain the CRM and sales pipeline, ensuring all opportunities, contacts, activities, and deal stages are accurate and up to date. Track the status of proposals, quotations, contracts, negotiations, and active opportunities, and communicate progress to the sales team and leadership. Coordinate the preparation of proposals, pricing, presentations, and contract documentation. Attend weekly sales meetings, take detailed meeting minutes, document action items, and follow up with team members to ensure commitments are completed. Hold sales representatives accountable for maintaining accurate CRM records, updating opportunity stages, next steps, expected close dates, and client communications. Monitor sales follow-up activities to ensure timely responses to prospects and clients. Maintain complete records of customer correspondence, including emails, meeting notes, phone calls, and follow-up actions. Generate weekly and monthly sales activity, pipeline, and forecasting reports for management. Coordinate communication between Sales, Engineering, Operations, Finance, and Legal to ensure projects move efficiently through the sales process. Support customer onboarding by ensuring all required documentation has been completed after a sale is closed. Research prospective clients, market opportunities, and target accounts to support business development initiatives. Maintain proposal templates, pricing schedules, sales collateral, and contract libraries. Assist with day-to-day office administration to ensure the office operates efficiently. Assist with organizing company events, team meetings, and client visits.

Who You Are Extremely Organized: This candidate must be able to keep to organize and keep track of both digital and physical spaces Proactivity: The ideal candidate will be able to recognize what tasks need to be done with minimal supervision Process-Driven: Clear is open to new ideas on how to manage everything, this candidate will be excited to share their ideas and implement them Strong Communicator: The candidate must be able to change their communication style to the audience. The candidate must be comfortable calling and emailing professionals, clients, vendors, employees, investors, etc Familiar with B2B Sales (Preferred): The ideal candidate understands the B2B sales journey and the role each team member plays within it so as to provide support Real Estate Fluency (Preferred): The ideal candidate will have some experience with the real estate industry

Qualifications At least 1–2 years of experience in sales operations, sales coordination, CRM management (preferably Notion) or a related administrative role; preferably in a B2B environment. Bachelor’s degree in Business, Marketing, Communications, or similar. Alternatively, an equivalent work experience Proficiency with computers and software such as Notion, Salesforce or Hubspot as well as Microsoft Office and Google Workspace Strong analytical and reporting skills; experience with Excel Excellent written and verbal communication skills
